Summary:

The Fleet Administrator is responsible for overseeing the maintenance, management, and operation of a company's fleet of vehicles, ensuring they are safe, compliant, and operating efficiently. The Fleet Administrator will manage vehicle registrations, inspections, repairs, fueling, and driver assignments, and will work closely with other departments to ensure smooth fleet operations. The Fleet Administrator will also be responsible for maintaining accurate records, analyzing data, and providing recommendations to optimize fleet performance.

Roles & Responsibilities:

Coordinate and manage the maintenance, repair, and inspection of company vehicles to ensure they are safe and in compliance with all relevant laws and regulations.

Monitor and manage vehicle registrations, permits, licenses, and inspections to ensure compliance with local, state, and federal regulations.

Develop and implement preventive maintenance schedules and procedures to minimize downtime and extend the life of fleet vehicles.

Manage fueling programs, including fuel cards, fuel tracking, and reporting, to ensure efficient fuel usage and cost control.

Oversee vehicle acquisition, disposal, and replacement processes, including negotiation with vendors, preparation of purchase or lease agreements, and timely disposal of obsolete vehicles.

Coordinate driver assignments, schedules, and training to ensure compliance with company policies, safety regulations, and hours of service requirements.

Maintain accurate and up-to-date fleet records, including vehicle information, maintenance history, and fuel usage, using fleet management software or other tools.

Analyze fleet data and performance metrics to identify areas for improvement and cost-saving opportunities and provide recommendations to management.

Develop and implement fleet policies, procedures, and guidelines to ensure compliance with company policies, industry best practices, and regulatory requirements.

Collaborate with other departments, such as operations, finance, and procurement, to ensure fleet operations are aligned with overall business objectives.

Preferred Qualifications:

Bachelor's degree in business, logistics, or a related field (or equivalent experience).

Minimum of 3-5 years of experience in fleet management or a related field.

Knowledge of local, state, and federal regulations related to fleet operations, including vehicle registration, permits, inspections, and hours of service.

Experience with fleet management software and other relevant tools for tracking and reporting fleet data.

Excellent organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.

Strong analytical skills with the ability to analyze data, identify trends, and provide recommendations.

Excellent communication and interpersonal skills to effectively communicate with internal and external stakeholders.

Ability to work independently and as part of a team, and to collaborate with other departments to achieve common goals.

Detail-oriented and thorough, with a commitment to accuracy and compliance.

Valid driver's license and a good driving record.

Familiarity with different types of vehicles, such as cars, trucks, vans, and specialized equipment, is a plus.

Experience with ADP, NetSuite, Verizon Connect, Enterprise Fleet Management, Wex, Microsoft products.

Role and Responsibilities

  • Interact with various departments within the company to obtain information to properly set up fleet records within our system.
  • Properly schedule service appointments for Preventative Maintenance that support fleet vehicle availability requirements.
  • Handle multiple tasks and projects throughout the day.
  • Prepare and maintain accurate records of vehicles, insurance and required regulatory filings and reporting.
  • This position requires strong organizational skills, attention to detail, and the ability to multi-task in a fast-paced environment.
  • Assist in safety training and communication programs.
  • Maintain all OSHA, DOT and Fleet specific requirements!

Qualifications and Education Requirements

  • High school Diploma or GED equivalent
  • 1-3 years’ experience with Fleet services
  • Strong computer skills
  • Excel

Desired Skills

  • NetSuite, ADP experience
  • Excellent oral and written communication skills
  • Intermediate to advanced level of computer skills
  • Exceptional Microsoft Office, Excel, Word and Outlook.
  • Understanding of NetSuite System is required.

Wage Range

$55-60,000
